Your privacy, in plain terms
This page sets out the details we keep about you, where each came from, how they are used, and how to bring it to an end. It is written to you directly because the person reading it is usually someone we have written to first.
We are a recruiting firm in Brentwood
We are Affinity Search Partners. We place technical people with employers in Middle Tennessee and across the country: contractors and consultants, people who start on contract and then stay, permanent hires, and technology leaders. This page covers two things: this website, and the emails and other business messages that go out as part of our recruiting work. If you are on this page because one of those messages reached you, this is the right place to find out why.
We write to people at their work
Our messages go to people whose roles at their companies relate to what we do: people who hire technical staff, people who lead technology teams, and technical professionals whose experience matches a role we are working on. We write to work email addresses. Now and then we phone a business line, or post a letter addressed to you at your company's premises.
We only reach out when we think the work could be relevant to you. If it is not, or you simply do not want to hear from us, you can tell us and we stop. The section on stopping below says how.
We hold business details, not personal ones
What we collect is the kind of information that appears on a business card or a professional profile. In particular:
- Your name, your job title, the company you work for, your work email address, a business phone number, and the web address of your professional profile, whichever of those are available.
- Information about your company: what it does, roughly how large it is, where it is, and what technology it runs.
- Public business activity, such as job postings your company has published, news about it, and posts you or your company have made in public.
- The result of a deliverability check, which tells us whether an email address is likely to accept mail before anything goes out.
- Our correspondence with you and the notes we make about it.
When you visit this website we set no cookies and run no analytics. The company that hosts the site keeps the standard technical logs any web server keeps, such as the address a request came from and the page it asked for. The Raleway typeface on this site is fetched from Google's font hosting, and that fetch carries your device's internet address to Google.
Sensitive information is something we neither ask for nor want: nothing about your health, your beliefs, your background, your finances beyond a compensation range you choose to share, or anything of that kind.
Most of it comes from public sources
The business details we hold come from three places. First, what is already public: an employer's own website, the boards where jobs are posted, news coverage, and profiles on professional networking sites. Second, commercial providers of business contact and company data, who supply the kind of information described above under licence. Third, you yourself, whenever you answer a message, complete the form on affinitysearchpartners.com, or talk with us.
We use it to decide whether to write, and to reply when you do
Specifically, we use what we hold to judge whether a role or a person is likely to be relevant to you; to contact you at work; to confirm an address is live before an email goes out; to answer you when you reply and, if you ask, to talk about or provide our services; to maintain our stop list, the record of everyone who has told us to stop; to protect our systems; and to do what the law asks of us.
Open tracking is not something we do. No hidden image in our emails reports back whether you read them.
One reply is enough to stop us
Answer any message of ours, in whatever words you like, and we will stop. If we phoned you, tell the caller. We act promptly, and always within ten business days.
When you ask us to stop, your name and address go onto our stop list. That list exists so that you are not contacted again, even if your details later reach us from a different source. It is the one record we keep on purpose after you ask us to remove everything else.
Nobody buys it from us, and no advertiser sees it
We never sell or rent your information. We never hand it to another company so that they can market to you, and we never pass it to advertisers or to anyone building a targeting profile.
We do share it in three narrower situations. Service providers who work on our behalf may handle it: the services that send and receive our email, the services that verify addresses, the providers of business data, and the hosting and storage companies behind our systems. Each may use your information only to do that work for us. We may disclose information to authorities when a law compels it, or when our rights or someone's safety need protecting. And if our business were sold or passed to a successor, the buyer would take on the information under the terms of this page.
We keep it while it is useful
Business contact details stay on file while they are useful to our work, and stale records get cleared out. Records connected to a client engagement stay until the work is finished and our duties under tax, accounting and other law have run their course. A stop list entry stays as long as we are writing to businesses at all, because removing one would defeat its purpose.
We protect it, without promising the impossible
Only the people whose work requires it can get at the information we hold, and we use reasonable safeguards to protect it. No system is perfectly secure, and we do not claim ours is.
You can ask what we hold, and ask us to change it
You are entitled to know which details we have on file for you and the source each one came from. If something is wrong, ask and we will put it right. If you want it gone, ask and we will erase it, with one exception: if you have asked us not to contact you, the stop list entry stays so that the request keeps working.
Depending on where you live, your state may add rights of its own: to learn what has been gathered, to have it corrected or erased, and to say no to personal information being sold or shared. Since selling it and sharing it in that sense are both things we do not do, that particular refusal has nothing to bite on. Exercising a right costs you nothing with us and changes nothing about how we treat you.
A request can come by answering a message from us, by post to the address at the foot of this page, or through the form on our main website at affinitysearchpartners.com/contact. Before acting on it we may confirm that it comes from the address our message went to. Our answer arrives inside whatever deadline the law that applies to you sets. Someone you have authorized can make the request for you.
This site is for businesses, not children
Our work and this website are directed at businesses and the people who work in them. Nobody under eighteen is knowingly in our records.
We work from Tennessee
Our office is in Tennessee and our work is in the United States. The providers we rely on handle data in whichever places they run their operations.
When this page changes, the date changes
If we change how we handle information, we update this page and the date beneath its heading. The version on the site is the one that applies.
